Position Title: Executive Assistant  

Supervisor: Executive Director

Classification: Administrative, exempt, full-time

The Executive Assistant is responsible for the daily administrative operations of the Executives Director’s (ED) office at the Kutztown University Foundation (KUF). This position will serve on the KUF senior leadership team and must be able to interact effectively with multiple constituencies; provide leadership and direction in a highly independent manner; provide strong organizational skills; be an effective communicator; and must be able to handle sensitive and confidential information.  The Executive Assistant also serves as the recording secretary to the Boards of Directors of Kutztown University Foundation and its subsidiaries. 


Duties & Responsibilities:


  • Consults with the Executive Director to establish daily/weekly/monthly/quarterly priorities and projects.
  • Prioritizes the calendar, logistics and appointments of the Executive Director and Associate Executive Director.
  • Manages a variety of administrative actions for the ED including but not limited to arranging and coordinating travel itineraries; preparing and organizing meeting materials, space, AV, and minutes; completing expense reports, and maintains electronic rosters, membership and contact lists.
  • Prioritizes and tracks incoming correspondence received by Executive Director and responds as appropriate to effectively promote responsiveness.
  • Actively assists Executive Director with donor stewardship and communications, such as entering action reports, preparing pledge forms/proposals and setting up donor visits and providing any needed follow up materials. 
  • Assesses, prioritizes and queues up staff requests requiring action by the Executive Director and/or the Associate Executive Director.
  • Acts as a liaison for communication between the KU Foundation office and external constituents including university community, Board members and/or volunteers.
  • Prepares, composes and drafts operational and procedural-related correspondence for the approval and signature of the Executive Director.
  • Prepares and schedules calendars and agendas, including assembling of relevant materials for Foundation Board, Committee and general staff meetings.
  • Interface with donors to review confidential gift agreements, stewardship reports and/or other engagements.
  • Works on special projects as needed, including reports, presentations, and special events.
  • Researches, complies, and summarizes issues, policies and topics; provides background information, talking points and briefing materials for the ED.
  • Other duties as assigned




Recording Secretary Responsibilities:


  • Functions as recording secretary for the Foundation Board of Directors and Boards of Directors of the Foundation’s subsidiary organizations and records proceedings and minutes for meetings.
  • Tracks and affirms the completion of all action steps and motions resulting from Foundation Committee and Board meetings.
  • Organizes facets of the Board of Directors Annual Retreat to include coordinating schedules, setting date, choosing location, designing and distributing agenda, meeting logistical needs of attendees and executing the event.
  • Monitors adherence to the Foundation By-Laws, policies and procedures at the Foundation Board and Committee meetings.
  • Makes recommendations to the Executive Director regarding By-Laws for compliance and updating as needed before they are presented to the Board of Directors.
  • Compiles, analyzes, and submits report regarding confidential skills survey results of Foundation Board Directors for increased productivity.
  • Coordinates needs required by special projects with associated departments and Board.

Skills, Professional Background and Abilities Required:

  • Bachelor’s Degree preferred.
  • Strong organizational and project management skills with the established ability to navigate a fast-paced environment featuring multiple assignments and quickly changing priorities.
  • Demonstrate the ability to meet deadlines and manage several projects simultaneously.
  • Possesses outstanding interpersonal, verbal and written communication skills.
  • Demonstrated creativity and strategic thinking, with the ability to take initiative.
  • Thorough knowledge of standard desktop software applications such as Microsoft Word, Excel, PowerPoint etc. 
  • Ability to learn to use Blackbaud Raiser’s Edge NXT. 
  • Engenders a collegial team environment.
  • A thorough understanding of the relationship between an institutionally-related foundation and its university is helpful.
  • Ability to relate comfortably to alumni, parents and volunteers, as well as to faculty/staff members, administrators and other staff.
  • Occasional night and weekend work required.
